Privacy Policy
Donna AI ("Donna", "we", "us") is operated by Semicolon One Technologies. This policy explains what information we collect when you use our website and our virtual receptionist service, why we collect it, and the choices you have. We are a Canadian company and handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
Information we collect
- Call recordings and transcripts. When Donna answers a call on behalf of a dental practice, the call is recorded and transcribed so the practice's team can review what was said and so bookings are accurate.
- Booking and intake details. Information a caller shares to book an appointment — name, phone number, email, insurance details, and the reason for the visit — is passed to the practice's management system on the practice's behalf.
- Contact form data. If you submit our website contact form, we receive the name, email, phone number, practice name, and message you provide.
- Usage data. Standard technical information such as browser type and pages visited, used to keep the site working and improve it.
How we use information
- To answer calls, book appointments, and relay messages on behalf of the dental practice you called.
- To provide practices with transcripts, summaries, and analytics of the calls Donna handled for them.
- To respond to sales and support inquiries.
- To improve the reliability and quality of the service.
We do not sell personal information. Donna acts as a service provider to dental practices: the practice you called is responsible for the patient relationship, and we process call data on its instructions.
Call recording consent
Calls answered by Donna include a disclosure that the call may be recorded. If you do not wish to be recorded, you can tell Donna, and she will offer to take a message or direct you to the practice during office hours.
Service providers
We use a small number of subprocessors to deliver the service, including SendGrid (email delivery for contact form submissions) and telephony and voice-infrastructure providers that carry and process calls. Each is bound by contractual confidentiality and data protection obligations.
Retention
Call recordings and transcripts are retained for as long as the practice's agreement with us requires, and deleted or anonymized afterward. Contact form submissions are kept only as long as needed to respond and follow up.
Data residency and security
Standard plans store data in Canada. Practices on the HIPAA add-on may elect US data residency. Data is encrypted in transit and at rest — see our Security page for details.
Your rights
You may request access to, correction of, or deletion of your personal information. If your request concerns a call made to a dental practice, we may refer the request to that practice, since it controls the patient record. To make a request, contact our privacy officer below.
